Position Description

 

Kindling Group is seeking a Production Coordinator to support our team and collaborate on exciting documentary projects. This position is a great opportunity for an aspiring producer to learn documentary production and engagement from experienced mentors, deepen skills and responsibilities and, potentially, advance within this growing organization. The Production Coordinator supports the staff producer and Executive Director, facilitates interdepartmental collaboration and communication, and jumps in on various projects. This position oversees production coordination, office administration, screening inquiries and distribution. An understanding of the production process, familiarity with Adobe Premiere and the editing environment, and great organizational and writing skills are musts.  

 

Responsibilities Include But Are Not Limited To:

 

Production Coordination:

  • Perform tasks given by the producers at Kindling Group, including production planning, booking crews and travel, story research, basic editing, and maintaining project files and documents based on best practices

  • Participate in production meetings and taking notes

  • Act as go-between for all departments within each production

  • Track expenses and create invoices and reports for producers and crew

  • Keep character releases organized and up to date

  • Keep the Kindling Group equipment inventory organized and up to date

  • Maintain list of vendors, including contact information and accounting information

 

Organizational Management:

  • Schedule meetings, send communications, and create/edit documents

  • Keeping in touch with the Kindling Group bookkeeper on relevant financials, mail out checks bi-weekly, and manage financial files, invoices and payment records

  • Coordinate staff meetings and take notes

  • Hire and manage interns, including scheduling, delegating tasks, and following up on intern goals and independent projects

  • Organize meetings with Kindling Group’s Board of Directors when necessary

 

Distribution:

  • Keep track of Kindling Group’s web-stores and mail off merchandise

  • Intake screening inquiries and following up to facilitate screenings

  • Communicate with “screeners” to ensure a smooth process

  • Keep relevant spreadsheets up to date

Required Skills & Experience

 

  • 1-2 years of production experience

  • Ability to manage-up and be assertive

  • Highly organized and detail-oriented with the ability to multitask

  • Ability to work effectively as part of a team

  • Strong verbal and written communication skills

  • Flexible, diplomatic, persistent, inquisitive, resourceful and good-humored

  • Knowledge of business, personal, & social etiquette

  • Strong moral & professional outlook

  • Computer literate, including Microsoft Word, Excel, Google Drive. QuickBooks a plus.

INTERNSHIPS

Our internship program is geared toward those just beginning their professional careers in the world of documentary film production, journalism, communications, or related fields. As an intern, you will be quickly immersed in our team, gaining first-hand exposure to the inner-workings of a leading nonprofit documentary film company.

Throughout the 12-week program interns participate in professional development lunches with staff members and professionals in the social issue focused multi-media content communities and receive opportunities for feedback on their own independent work, and often have the opportunity to work with our partner producers. Each term is a unique experience and tailored to the films currently under construction.

We offer two types of internships for each term (Outreach Associate and Post-Production Associate) although intern assignments may overlap each others areas of focus.
